Sometimes it’s easy to lose site of the fact that the value proposition of IT boils down to either time saving or increased productivity. Even though most of the marketing aimed at small and medium sized businesses makes very exciting promises about the time saving and improvements in productivity that their products or services will deliver, the truth is that most of us already have far more technology at our disposal than we know what to do with or that we take full advantage of.
I am sure most of us have heard the saying that your average software user uses less than 25% of the functionality that’s available to them. I don't think there's any doubt that there’s a lot of truth in this. So if it’s true then shouldn’t we be spending more time improving our capability with the tools that are already available to us?
A great example of this is Microsoft SharePoint Services which is free with Windows Server. SharePoint Services provides a very powerful and surprisingly easy to use platform for building a web based portal for your business. For the benefit of any technophobes: a portal is a private website that’s used for sharing information amongst your staff and optionally your external partners.
The whole raison d’être for SharePoint is time saving thus increased productivity. Microsoft claims that your average information worker spends something like 45 minutes a day looking for information. The value of a SharePoint portal is that all the information that your people need to do their jobs is available in an environment that makes it incredibly easy to find either by navigating to or by using its powerful search which enables you to effectively Google all of your businesses information in a matter of seconds. (The conventional file system really is very inefficient)
If Microsoft are right and you have 25 information workers i.e. people that are sat behind computers most of the time and relying heavily on access to information to do their jobs, time spent looking for information could be costing your business up to 15 hours a day!
To get the most value from your IT investment you need to work with someone that understands your business, the capabilities of the technology that’s available to your business and you need to train your people. This is where you can really get a lead on your competitors.
During these times we are all focused on how we can sharpen up our business and how you can maximise your efficiency with IT should be on your agenda. It’s worth bearing in mind that an IT partner in this day and age should be so much more than someone to simply fix your computers when they're misbehaving.
